5.11 Mail Run Procedure

The mail run starts at 1:30 pm.   

Collect legal documents from Main Office (Casa Loma) & Prado Office.  Clip documents together with the appropriate clip.  Public Defender (P), Attorney (A) and District Attorney (D).  The folders are as follows:

  • Attorney (A)
  • Public Defender (P)
  • District Attorney (D)

These documents are delivered to room 220 at the courthouse.  Place Public Defender (P) and District Attorney (D) documents in the designated basket.  Attorney (A) get filed in the alphabetically file.  Make sure you confirm the Attorney’s name is on the list attached to the box.  If the Attorney’s name is not on the box, return document to Legal Clerk.

Additional sections for mail sorting and delivery include:

  • Lab Samples (as needed)
  • Probation Prado Road location mail
  • Probation Court Hub
  • Juvenile Services Center mail

Begin the mail run by first delivering to the Prado building located at 145 Prado Rd, San Luis Obispo (a Probation Casa Loma key is required for entry into the Prado building.)

Drop off the mail at the common area at the Prado location, and pick up outgoing mail from Prado. This may include mail that needs to be routed back the Casa Loma, the Court, JSC and lab samples.

Next, deliver mail to the County Courtroom located at 1050 Monterey St, San Luis Obispo. Go to the 2nd floor of the Courtroom, to room 220, and ask to be buzzed in. Disperse mail to appropriate boxes, pick up mail in the Probation outgoing basket.

The Probation Court Hub is located on the 1st floor of the Courthouse. Access the room with code *1542 (a Casa Loma key will not allow entry into this room.) Deliver and disperse mail for the Court officers and pick up any outgoing mail.

The final stop on the mail route (unless lab samples need to be dropped off) is at Probation’s Juvenile Services Center, located at 1065 Kansas Ave, San Luis Obispo.

Drop off mail with the JSC Front Desk and pick up outgoing mail.

For Lab Samples, drop these off at the Sheriff’s Crime Lab located at 1545 Kansas Ave. To drop off the samples, knock on the exterior door and state that you are with Probation, and dropping off samples. If no answer, utilize the drop box.

Upon return to Casa Loma, sort and disperse mail collected during the mail run. Mail collected from t Courtroom (220) is to be date stamped and then placed on top of the Legal Clerk’s filing cabinet located at the north end of the building. The Legal Clerks will sort and distribute this mail. CR-110 and CR111/JV-790 forms are not to be stamped. ***Place CR-110 and CR-111 forms in the Collections Mailbox at Casa Loma.
