3.26 Reassignment and Office Move(s) Notification and Processing

Subject 3.26 Reassignment and Office Move(s) Notification and Processing
Purpose Ensure timely notification of reassignment and/or office moves to Probation Personnel, Training and IT staff.

  1. Once it is determined where the affected employee(s) will move, the employee’s supervisor, Chief Deputy or Departmental Administrator will email PR_MOVES with the following information:
    1. The date of the transition.
    2. New office/cubicle location if applicable.
    3. New phone number if applicable. It the employee will not be taking on a new phone number, state that they will keep their current phone number. If a phone line becomes vacant due to a move, include this information as well. Employee may take the VOIP handset and wireless head set with them to their new work/office location. The VOIP base must remain in the assigned office

  2. Probation Personnel staff will process the move as follows:
    1. Process Personnel Action Form (PAF) if applicable.
    2. Change time approver
    3. Email Probation IT with Employee Change in Status Notification.
    4. Email employee with a reminder and instructions on how to change their timecard template if applicable.
    5. Update direct supervisor/direct reports in NeoGov if applicable.
    6. Email the appropriate front desk to update phone lists, mailboxes, name plates and any other pertaining information.
    7. Process the telephone request for phone line swaps, or vacant lines as needed.
    8. Once the telephone request is complete, Department HR will notify the employee with a copy to their supervisor of anything related to the phone line as needed.
    9. Update the Employee Telephone Log.
    10. Update Unit Schedule (IT)
    11. Update the appropriate building maps.
    12. Add/update employee on the Employee Safety Roster.
    13. Update the assignment sheet in the employee’s personnel file if applicable.
    14. Update employee’s approver group in SAP if applicable.
